Maintenance Administrative Assistant

We are seeking a results-oriented Maintenance Administrative Assistant to assist in all aspects of the administrative function of supporting a maintenance department. Tasks include administrative functions, document control, purchase requisitioning, cost controls and personnel responsibilities.

Employees must exercise principles of safety, environmental management, quality management, and good housekeeping in all aspects of the job and must inform supervision of any unsafe practices or conditions.

Job Requirements

Administrative responsibilities include:
•    Schedule staff & training meetings 
•    Manage credit card statements/purchases as needed 
•    Represent the Maintenance Dept. on plant teams/activities (e.g., United Way)
•    Issue the review and sign off sheets for iShare, PHA’s, etc.
•    Update Staff On-Call Calendar in TCO Maintenance 
•    Maintain and update databases and sharepoint sites
•    Create and submit routine reports as needed 
Document Coordinator responsibilities include:
•    Manage/update all Maintenance procedures 
•    Maintain files/library to meet company requirements 
•    Champion document retention requirements for Dept.
Requisitioning responsibilities include but are not limited to the following:
•    Coordinate Invoice approvals within Dept.
•    Ensure Distribution is correct for invoices 
•    Assist purchasing with renewing purchase orders 
•    Purchase routine supplies for Dept.
•    Create requisitions for purchasing items needed by Dept. as requested 
•    Communicate with vendors for ordered materials or expediting invoices

Cost Controls responsibilities include:
•    Log approved purchase requisition data into Cost Control report
•    Log approved invoices into Cost Control report
•    Assist in monthly accrual reporting
Personnel responsibilities include:
•    Coordinate recognition activities such as retirements, anniversaries, etc.
•    Coordinate on-boarding for new employees 
•    Responsible for approving timecards and schedules for payroll and tracking employee vacation and time off requests.
•    Training and records documentation

Experience/Education Required:
•    High School Diploma or GED, some college preferred
•    The ability to process information from a wide variety of sources 
•    The ability to work within a team and on own initiative 
Experience/Education Preferred:
•    5+ years prior experience in an administrative function in a chemicals, petrochemical or manufacturing industry environment highly preferred
•    5+ years working knowledge of SAP
Skills and Special Requirements:
•    Excellent organization, time management, project management, and customer service skills. 
•    Ability to follow established procedures on routine and infrequent work assignments, anticipate customer and project needs, requires minimal instruction on new assignments.
•    Proficient in desktop application software such as Word, Excel, Access, PowerPoint, Pivot Tables, and other learning management system and software tools such as Lotus Notes, SharePoint and SAP
•    Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
•    Time management skills
Work Environmental & Physical Demands:

•    While performing duties of this job, occasionally be required to stand, walk, sit, reach with hands and arms, climb or balance, stoop or kneel, talk and hear, and use fingers and hands to feel objects, tools or controls
•    Specific vision abilities required include close vision, distance vision, depth perception, and the ability to adjust focus
•    Must occasionally lift and/or move up to 25 pounds
