Responsibilities / Core tasks
Carry out administrative tasks for the Director APAC Supply Chain Operations in such a manner that efficient time management and the desired comfort have been made possible and the administration is in good order. Make periodical overviews and reports using several systems (SAP, Business Information Warehouse reports, Sharepoint, Salesforce, Power BI, etc.) in such a manner that the Director APAC Supply Chain Operations has the correct information available on time. He/She will also support the Regional Logistics Manager and the Regional CoE Manager on their administrative tasks, ~10% each.
To this effect, primarily:
• Maintain follow-up system for daily meetings, workshops, agendas, deadlines, etc., keeps calendar up-to date.
• Set up monthly Supply Chain Leadership Team meetings, prepares agenda, publishes action items and minutes
• Handle incoming emails in absence of manager, inform manager about important and high priority issues and, if necessary, informs the appropriate regional Supply Chain Manager.
• Respond for manager when appropriate.
• Prepare documents and presentations, maintains organization charts & distribution lists
• Organize domestic and international travel arrangements, incl. drawing up & maintaining travel itineraries and prepares expense statements
• Collect highlights of the Supply Chain and distribute to managers.
• Draw up and maintain of Supply Chain Key Performance Measures and scorecard; collects and processes data holistically.
• Draw up and maintain other relevant team reporting as assigned
• Assist in developing budget, tracks department expenses throughout the year, reports overrun and follows up with relevant departments as necessary
• Handle special projects as required.
• Support SG CSR team for VAT invoice distribution to China customers
• Coordinate with Admin team on company stamp needs of daily paperwork
• Coordinate Supply Chain team events
• Accommodate executive visits to the AP region
• Support onboarding for APAC SC organization
Administer the Asia & other assigned Supply Chain SharePoint sites in such a manner that information is classified correctly, and the site can be used correctly. To this effect, primarily:
• Give and enter access codes for users, in accordance with agreed upon authorizations by management.
• Organize content including record management
• Download data periodically in support for inventory forecast, capacity utilization forecast and other relevant Supply Chain measures


Required Skills:
• Strong organization skills, Understand organizational & personal needs
• Fluent in verbal and written English, another language is an advantage
• Good verbal and written communication skills is a prerequisite
• Follow-up skills and interpersonal skill savviness
• Proven ability to work in a team environment as well as independently, self-starter
• Networking skills - people, company, and organization communications
• Must be able to prioritize and manage multiple tasks / projects simultaneously
• Ability to maintain confidential information required
• Ability to focus and prioritize.
• Must be able to meet deadlines in fast-paced quickly changing environment. Highly adaptive and ability to handle stress.
• In-depth understanding of entire MS Office Suite
• Not afraid of data & systems, willing to learn other digital & analytical tools. Experience in SAP is a pre.

Educational & experience profile:
• Have a secretarial/administrative school education on a bachelor level. Experience in the field of International Business
• 3-5 years of experience in a secretarial/administrative supporting role
