The role


The Business Support Specialist is responsible to provide administrative assistance to the Global Sales Director Coatings & Inks and support the EMEA Sales to perform data analysis for various Sales related processes/ projects.



Carry out administrative assistant tasks for the Global Sales Director Coatings & Inks in such a manner that efficient time management and productivity are optimized.  Make periodical overviews and reports using several systems (Excel, SharePoint, SFDC, etc.) in such a manner that the Sales Director has the correct information available on time. To this effect, primarily:


Enable productivity 


  • Optimize calendar pro-actively and work in close collaborations with Sales Director internal network around the world (Business Leadership Team, Sales Team, …)
  • Optimizes agenda, travel schedules and enable remote decision making 
  • Handle incoming emails in absence of manager, inform manager about important and high priority issues and, if necessary, informs the appropriate regional Sales Manager. 
  • Schedule appointments and coordinate arrangements for meetings and conferences
  • Ensures meetings can start on time and prep material delivered in advance

Manage administration 


  • Organize domestic and international travel arrangements, incl. drawing up & maintaining travel itineraries and prepares expense statements
  • Manage scorecard(s), KPIs for the regions and selective reporting 
  • Manage SharePoint site(s), records retention, etc. 
  • Reading and analyzing email/ memos and distribute as needed 
  • Draw up and maintain of Coatings & Inks Sales Key Performance Measures and scorecard;
  • Collects, processes and reports data present in SFDC
  • Support onboarding for EMEA Sales organization
  • Draw up and maintain relevant team reports as assigned
  • Administer the Global and EMEA assigned Supply Chain SharePoint sites in such a manner that information is classified correctly, and the site can be used correctly. 
  • Give and enter access codes for users, in accordance with agreed upon authorizations by management.
  • Organize content including record management



  • Ability to focus and prioritize. 
  • Must be able to meet deadlines in fast-paced quickly changing environment.  Highly adaptive and ability to handle stress.
  • In-depth understanding of entire MS Office Suite
  • Proactively engage different data & systems, willing to learn other digital & analytical tools. Experience in SAP and SFDC is a plus.
  • Fluent in verbal and written English, other language skills are desired, but not a pre-requisite. 
  • Understand organizational & personal needs. Smart instincts and proactive / anticipative.  
  • Can handle confidential information.

Educational & experience profile:

Have a secretarial/administrative or business-related education on a bachelor level. Experience in the field of International Business
