Description

 

The Learning Services Assistant provides comprehensive administrative, operational and systems support for Eastman’s Texas Operations (TXO) Learning Services team. This role supports the coordination and execution of learning programs across the site, including apprenticeship training, Learning Center operations, non-apprentice craft training, Business & Technical training, Lead Person training, AT, and other sitewide learning initiatives. Responsibilities include scheduling hands-on labs, coordinating training calendars, supporting apprentice orientation, assisting with timekeeping, serving as an acting School Certifying Official for Veteran Administration, updating Department of Labor apprenticeship records in RAPIDS and providing administrative support to Learning Services program leaders.

 

In addition, this position administers MyLearningLab and related training records by assigning curricula, entering course completions, updating course information, supporting training coordinators and helping ensure accurate and timely training documentation. The role also processes ATR procedure workflows, maintains SharePoint resources, records, meeting support, events, and other departmental processes that help Learning Services operate efficiently. As a key resource for training coordinators, apprentices, program leaders and site personnel, the Learning Services Assistant provides responsive customer support and helps ensure training activities are well organized, properly documented, and completed on schedule. This cross-functional role is designed to reduce silos, strengthen team continuity and provide coverage during vacations, absences and extended leave.

Responsibilities

Scheduling & Testing

  • Coordinate master schedules for Apprentices, optimizing timelines around vacations and department turnarounds
  • Manage calendars and resource allocation for instructors, the TXO Apprentice account and the Building 86 (B86) hands-on lab equipment
  • Oversee Instructor Training schedules to ensure necessary development and coverage
  • Handle logistics and compliance tracking for the Texas Workforce Commission Grant, including managing sign-in sheets
  • Proctor e-tests, National Center for Construction Education and Research (NCCER) testing and online performance evaluations
  • Provide support and troubleshooting to apprentices navigating training applications and tools
  • Administer and support online Non-Apprentice Craft Training (NACT) systems
  • Record training completions and accurately update testing information in MyLearningLab

MyLearningLab

  • Serve as TXO MyLearningLab Site Support and Help Desk point of contact, stewarding GOP S-27
  • Partner with Training Coordinators to establish and maintain current, division-specific curricula and supporting documentation
  • Manage employee curricula to reflect organizational changes such as new hires, promotions, transfers and demotions
  • Execute data entry and system updates including item creation, class scheduling, class accounting and course completions
  • Maintain deep functional knowledge of the platform by participating in corporate webinars, developing local job aids and communicating updates to users
  • Govern administrator and training coordinator privileges, support Power BI reporting for real-time compliance tracking, and actively participate on the Corporate MyLearningLab Enablement Team and Global Training Compliance Committee (GTCC)

Apprentice Orientation

  • Prepare class materials, including printing curricula, assembling apprentice binders and generating progress reviews
  • Set up educational paths by assigning corresponding curricula and recording performance milestones within MyLearningLab
  • Present the Learning Center informational portion during formal apprentice orientations
  • Manage Department of Labor (RAPIDS) apprenticeship registration forms and schedule hands-on labs for new apprentices

Steward Training Programs

  • Manage scheduling, administration and execution support for key training initiatives
  • Develop, publish and distribute program calendars and coordinate communication with stakeholders
  • Assign training paths, monitor mandatory course completions, log final milestones in MyLearningLab and generate Certificates of Completion

Administrative Support

  • Provide administrative support to Learning Services personnel and manager
  • Manage B86 conference room reservations, physical setup, marquee updates, catering and meeting cleanup
  • Support financial and purchasing needs for supplies, professional memberships and licensing
  • Manage timekeeping questions and direct time entry for apprentices within WorkForce, and coordinate programs like the United Way Campaign, TXO Leadership Central and local employee recognition
  • Oversee departmental logistics, acting as a point of contact for CINTAS/FRC requests, printer hardware issues, records retention, emergency communication checks and bulletin board maintenance
  • Manage and execute document change workflows 
  • Coordinate with procedure stewards and originators to gather information, draft corrections and facilitate resolutions when redlines are required
  • Prepare for, document and facilitate Procedure Team and Technical Review meetings
  • Provide systems training and troubleshooting support 
  • Provide administrative support, including document control and SharePoint site upkeep

Qualifications

 

  • High school diploma or GED required
  • Proficiency in Microsoft Office Suite required, including Outlook, Excel, Word, PowerPoint, Visio & Word
  • Excellent typing skills
  • Excellent communication and interpersonal skills 
  • Ability to work collaboratively with cross-functional teams
  • High degree of initiative

 

Preferred Qualifications

  • Associate’s degree in field or at least 3-5 years of work experience
  • Experience with: MyLearningLab Admin, Workforce timekeeping, QuickBooks, ATR Software (especially digital formatting), PowerBI &/or Sharepoint
  • Procedure Professionals Association (PPA) Certified
  • Problem-solver with ownership mindset
