Responsibilities

The Medical Administrative Assistant will share responsibility in providing comprehensive administrative support for medical team members. This typically includes answering phones, scheduling and confirming appointments, greeting patients, collecting and updating private information, preparing and organizing medical records, scanning/filing documents, referral tracking, processing faxes and referrals, coordinating messages between patients/key stakeholders/clinical staff, coordinating calendars in Outlook, and supporting smooth day-to-day clinic operations. Additional responsibilities may include coordinating workers’ compensation claims, ensuring compliance with audits, managing records retention, budgeting, purchase requisitions/orders/monthly invoices/accounts payable, and responsibility for timekeeping/payroll administration. Maintaining confidentiality and HIPAA compliance is required.

Qualifications

•    Must be high school graduate or equivalent
•    Experience in Medical Office Coordination preferred
•    Minimum 4 years of Administrative Coordination Experience or Equivalent College Degree Plan
•    Proficient in Microsoft Office software Applications and ability to assist others with use
•    Committed to Zero Incident Mindset for Safety
•    Strong organizational skills to manage changing schedules and daily demands of the department
•    Must be flexible in adjusting work duties to meet business demands including schedule changes/covering absences/variety of workload day to meet business needs
•    Must maintain confidentiality and handle such information with discretion
•    Must meet Eastman’s dependability guidelines
•    Strong, professional interpersonal skills
•    Clear, concise verbal and written communication skills
      o    Must be able to communicate clearly with others orally, in writing and electronically
•    Self-starter; takes the initiative to get the work done
•    Must have ability to understand, interpret, and remember written and oral procedures and apply new skills and technologies
•    Possess and practice good organizational skills, with ability to prioritize and multi-task.
•    Able to function in a team setting and exhibit behaviors that would support company goals and objectives
•    Must be able to interact cooperatively and constructively with co-workers, customers, and supervision
