Description

 The Executive Assistant to the VP, Stream Development & Operations Technology, is crucial for organizational support. This role offers hands-on experience supporting key projects and leaders. The ideal candidate is a proactive, positive influencer with the ability to thrive in a fast-paced, team-oriented environment. Flexibility, adaptability, and creative thinking are essential for handling time- sensitive situations and changing priorities. Discretion and strong interpersonal skills are required to collaborate with individuals at all levels, both within and outside Eastman. 

Responsibilities

 

  • Assist the VP of SD&OT and the Cellulose Esters Development Division leaders.
  • Developing a working knowledge of Eastman organizations, operations and businesses to contribute meaningfully to the team and our work
  • Maintaining calendar by arranging appointments, scheduling meetings, scheduling travel, and resolving conflicts in a prompt, courteous, and professional manner
  • Organizing meetings, teleconferences, group meetings and workshops using teleconferencing and video conferencing equipment and applications
  • Organizing reinforcement or team building events such as lunches, celebrations and activities
  • Assisting in developing presentations and communication strategies, marketing materials, project plans, and metrics to sustain performance
  • Managing electronic and paper files in an organized manner
  • Facilitating, planning, and supporting workshops and department meetings using any necessary teleconferencing and video conferencing equipment and applications; meetings can include regions outside the U.S. and require special consideration to accommodate time differences
  • Capturing and communicating action items and routinely sharing progress relative to plan. Maintaining follow-up system for daily meetings, workshops, agendas, deadlines, etc. 
  • Providing oversight and support to project managers/stakeholders on critical initiatives to ensure deadlines are successfully met and keep team informed
  • Maintaining and assembling background information for meetings
  • Receiving and screening incoming telephone calls and generating outgoing calls as situations demand
  • Processing Outlook mail, posting meetings, identifying and handling action items and due dates, and responding for Vice President as appropriate
  • Making travel arrangements, detailed itineraries and trip files for international and domestic travel
  • Welcoming guests and making necessary arrangements for visitor passes, meeting rooms, working meals and refreshments, in addition to arranging escorts for visitors as needed
  • Preparing budget analysis and/or other reports by collecting and analyzing data

Qualifications

  • Minimum high school graduate; college degree or higher education courses are a plus
  • Minimum 3+ years administrative experience 
  • Understanding of Eastman systems and operations preferred
  • Excellent organizational, interpersonal, oral and written communication skills
  • Exceptional attention to detail, with the ability to produce accurate, error-free work
  • Strong Microsoft Outlook, Teams, SharePoint, Word, Excel and PowerPoint skills
  • Capability of maintaining discretion and confidentiality
  • Ability to handle and prioritize multiple tasks simultaneously in a deadline-driven, fast-paced environment
  • Bias for action & follow through skills
  • Patience and pleasant interaction with others; service oriented
  • Networking skills
  • Outstanding ability to take initiative and assume responsibility for projects and tasks
  • High degree of professionalism
