Responsibilities

 

Eastman is seeking a qualified candidate to fill an Executive Administrative Assistant position to provide support for the Films Technology organization. This position will report directly to the Vice President of Technology, Films. 

The Executive Administrative Assistant will act as an ambassador and liaison for the Films Technology organization to support the smooth day-to-day operations of the function. 

The individual will handle details of a highly confidential and critical nature and will need to display a high degree of discretion, integrity, and know-how to balance urgent requests with thoughtfulness. The successful individual will bring a positive and can-do attitude, as well as flexibility to the work environment.  An ability to work with professionalism and courtesy with all levels of internal management, employees, and external contacts is necessary.  

This position is located on site at our Corporate Headquarters in Kingsport, TN

 

Responsibilities

· Serve as a resource for the Vice President of Films Technology, along with the broader organization, anticipating needs and proactively creating options and recommendations  
· Support the Films Technology Leadership Team (FFLT) by coordinating agendas, pre-reads, etc. 
· Collaborating internally to provide information, reports, or responses to division information requests; ability to work collaboratively across a large organization and across geographies (domestically and internationally) is a must
· Arranging both domestic and international travel
· Arranging, organizing, managing, and maintaining schedules for meetings, video conferences, and small group events, in addition to any set up that is required 
· Learning and contextualizing business priorities and acting accordingly, using best judgement as to which meetings need to be prioritized, which meetings cannot be moved, and always approaching scheduling conflicts with a can-do approach
· Collaborating with external partners to organize on-site visits, meetings, and luncheons
· Managing expense reports 
· Maintaining team SharePoint sites and organizing information
· Maintaining office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies and services
· Utilizing Adobe for signing and editing documents as needed
· Leveraging PowerBI to generate reports from various reporting systems

 

Qualifications


· Minimum high school graduate required; college degree in a related field is preferred
· Minimum 3+ years administrative experience
· Demonstrated proficiency in Microsoft Office applications - Outlook, Word, Excel, PowerPoint
· SharePoint and PowerBI skills are a plus
· Must be able to maintain the highest level of professionalism and confidentiality.  Ability to handle sensitive and confidential situations and use best judgment for sharing information.  
· Be adaptable, proactive, and professional, with demonstrated capability of working in a team-oriented environment to achieve results while maintaining a positive and collaborative attitude.
· Quick learner and agile multi-tasker who must demonstrate proactive initiative and attention to detail
· Possess exceptional communication, organizational, and interpersonal skills; ability to interface in a highly professional and friendly manner with people across multiple Eastman organizations, cultures and outside the company.
· Proven ability to thrive in a fast-paced environment and demonstrate ability to juggle multiple competing tasks, scheduling conflicts, and personalities; must independently meet deadlines, develop contingency plans and identify potential scheduling conflicts
· Understand that this role is not a remote job
