ROLE SUMMARY

The Administrative Assistant  is flexible, proactive, and professional, with demonstrated capability working in a high-energy, team-oriented environment to achieve results. Has developed skills to effectively plan, schedule, and organize a leader at the Department Head and/or Director level  by assisting in preparing for meetings, including assembling background information, and preparing agenda, presentations, and meeting minutes with moderate degree of supervision. Must show moderate attention to detail and possess intermediate communication, organizational, and interpersonal skills. for working with people at all levels, across multiple Eastman organizations, and externally. Maintaining professionalism and exercising integrity at all times in handlinghighly confidential information is a necessity.Maintaining professionalism and exercising integrity in handling confidential information is a necessitySeeking a qualified candidate to fill the position of Administrative Assistant to support the Marketing and ProductManagement teams for Adhesives, Additives & Functional Products (AFP) business.

ADMINISTRATIVE ASSISTANT ROLE

 

  • Managing the Product Director and Marketing Director’s schedule and calendar by arranging appointments,
  • meetings, travel and conference calls and advising of potential overlaps or conflicts and providing optionsfor resolution.
  • Supporting the Product & Marketing Team in preparation of agendas, meeting minutes, action items, andrelated projects. Preparation will include meeting notices, conference call arrangement, and day of meetingset-up and attendance to document key issues, items of relevance, and managing action items registerincluding proactively following on action to ensure completeness.
  • Supporting the Product & Marketing Team through assembly and editing of monthly reports, tracking andupdating key metrics and use of SharePoint.
  • Maintaining follow up system for daily meetings, workshops, agendas, deadlines, etc.
  • Processing Outlook mail, posting meetings, identifying and handling action items and due dates, andresponding for Product & Marketing management as appropriate.
  • Providing administrative support for Product Director and Marketing Director, Adhesives, AFP.
  • Completing expense statements as needed.
  • Collaborating with other AFP admins and providing back up support when needed.
  • Preparing documents, reports and presentations
  • Timekeeping
  • Supporting Upside contract management and maintenance of non-disclosure agreements.
  • Supporting projects and teams as requested. Examples could include United Way adopted agencycoordination and external recruiting team support. 

QUALIFICATIONS, SKILLS & KNOWLEDGE

  • Be able to perform all of the essential elements of the job, with or without reasonable accommodations
  • Minimum 3 to 5 years administrative experience
  • Excellent organizational, interpersonal, verbal and written communication skills.
  • Proficient in Outlook, SharePoint, Microsoft Word, Excel and PowerPoint.
  • Capable of maintaining discretion and confidentiality.
  • Ability to handle and prioritize multiple tasks simultaneously in a deadline-driven, fast-paced environment.
  • Exceptional attention to detail, with the ability to produce accurate, error-free work.
  • Ability to take initiative and assume responsibility for projects and tasks.
  • Patience and pleasant interaction with others; service oriented.
  • Networking skills.
  • Working knowledge of teleconferencing and video conferencing equipment and applications.
  • High degree of professionalism.
  • Be willing to work varied schedules and overtime according to business needs

EDUCATION

Minimum high school graduate; college degree or higher education courses are a plus
