Role Description


The Administrative Assistant  is flexible, proactive, and professional, with demonstrated capability working in a high-energy, team-oriented environment to achieve results. Has developed skills to effectively plan, schedule, and organize a leader at the Department Head and/or Director level  by assisting in preparing for meetings, including assembling background information, and preparing agenda, presentations, and meeting minutes with moderate degree of supervision. Must show moderate attention to detail and possess intermediate communication, organizational, and interpersonal skills. Maintaining professionalism and exercising integrity in handling confidential information is a necessity



  • Maintain basic calendars and schedule meetings for  a leader at the Department Head and Director level. 
  • Set up travel arrangements, domestic and international, if needed
  • Enter timekeeping information into SAP system
  • Assist with software applications including Outlook, Word, Excel, PowerPoint, SharePoint, SAP, TEDS, Time Entry System, Electronic Expense Statement System, and organization specific databases
  • Create and edit documents, presentations, spreadsheets and charts
  • Plan celebrations, snacks, and meals
  • Register employees for Training Classes and seminars and arrange payment
  • Assist in Onboarding New Employees
  • Set up office space, furniture and office supplies
  • Obtain Personal Protection Equipment
  • Order computer and telephone
  • Obtain access to various computer accounts, SharePoint sites, and applications for the company and division
  • Update and analyze budgets monthly
  • Act as records management coordinator
  • Update rosters, distribution lists, and organization charts
  • Maintain copiers, printers, telephones, and fax machines
  • Maintain and order supplies
  • Run reports and update measures monthly as needed by funtion
  • Maintain conference room and conference room schedules
  • Coordinate office moves and furniture reconfigurations
  • Maintain and make changes to SharePoint sites 
  • Maintain employee and contractor’s access to sites




  • High School Diploma/GED required
  • Degree or advanced coursework preferred
  • 2 years of recent Administrative support experience is required
  • Must be proficient with Microsoft Office (Excel, Outlook, PowerPoint, Word), SAP, and SharePoint
